Shifts nobody clocked into

Rostered shifts with no hours recorded are listed above the timesheet table so you can add the hours, record leave or dismiss them before payroll. The export warns you if any are still listed.

A rostered shift that nobody clocked into has no timesheet, so on its own it would never reach payroll. Roster lists those shifts on Timesheets, above the table, for the period you are looking at.

What is listed

Published shifts that have ended, with a worker assigned, and no timesheet or approved leave covering the day. Trial and Supp marketplace shifts are paid elsewhere and never appear. The list opens by itself when it is short or covers three people or fewer; a longer list sits behind Review so the table stays in view.

The top line of the page names them too: "3 rostered shifts with no hours recorded - add hours or leave before payrun" replaces "All clear" until they are dealt with.

What to do with each one

  • Add hours - they worked but never clocked. Opens Add timesheet with the shift filled in, and the timesheet lands in your review queue like any other.
  • Ask for hours - they worked and you'd rather they entered it. Texts (or emails) the worker a link straight into Add my hours for that shift; one ask per shift per day, and the button shows when you asked.
  • Sick leave or Unpaid leave - they did not work. Records approved leave for that day. Paid leave for full-time and part-time staff files in Xero when Xero is connected; unpaid and casual leave stays in Roster.
  • Other... - annual, compassionate, community service, long service or time in lieu.
  • Dismiss (the cross) - nothing to record for this shift.

Someone who never clocks in

Salaried staff who work from the roster and never punch would appear every week. Tap Doesn't clock in on their group once. Their rostered shifts leave this list, they stop getting clock-in reminders, and they are not counted as no-shows. Change it any time on their profile under Team.

Exporting to payroll

Export to Xero, MYOB or Employment Hero / QuickBooks Payroll sends approved timesheets only. If shifts are still listed when you export, Roster stops and tells you how many will not be in the pay run, alongside any pending timesheets, and offers Review first or the export anyway.

Check the previous pay period as well. The list follows the dates on screen, so a shift from last cycle shows when you switch the range back, and its hours can go into this run.
